Privacy Policy

1. Introduction

LogiPilot ("Company," "we," "us," or "our") makes AI products for logistics and supply chain businesses (LogiPilot Cover, LogiPilot Docs, LogiPilot Dial, LogiPilot Ping, and LogiPilot Analyst) and runs a studio that designs, builds, and operates custom AI systems for the same customers. This Privacy Policy describes how we collect, use, and disclose personal information when you visit our website, contact us, use our products, or work with us on a services engagement.

2. Information We Collect

2.1 Information You Provide

  • Business contact information you send us (name, email address, company, role)
  • The contents of your communications with us, such as demo requests and email inquiries
  • Billing information needed to invoice an engagement

2.2 Information Collected Automatically on Our Website

  • Usage data and analytics events
  • Device and browser information
  • IP address and approximate location
  • Cookies and similar technologies (see Section 9)

2.3 Client Engagement Data

When we perform services for a client, the client may provide us with, or authorize us to access, business data such as logistics documents, TMS records, and operational emails ("Engagement Data"). Engagement Data may incidentally contain personal information (for example, names and contact details of drivers, dispatchers, or counterparties). We process Engagement Data on the client's behalf and instructions, under the contract governing the engagement.

3. How We Use Information

  • Responding to inquiries and demo requests
  • Performing services under an engagement
  • Invoicing and administering our business relationship
  • Operating, securing, and improving our website
  • Complying with legal obligations and enforcing our terms

4. How We Handle Engagement Data

  • We access Engagement Data only as needed to deliver the engagement
  • We do not use Engagement Data to train models shared with other customers
  • By default, Engagement Data is stored and processed in United States cloud regions
  • Access is restricted to personnel who need it, and access is logged
  • At the end of an engagement, Engagement Data is returned or deleted as the contract specifies

5. Information Sharing and Disclosure

5.1 Service Providers

We share information with service providers who support our business — such as cloud hosting, AI model providers, email, and analytics — under agreements that restrict their use of the information to providing services to us.

5.2 Personnel and Subcontractors

Our personnel and subcontractors may process information under confidentiality obligations, on a need-to-know basis, subject to the data-handling terms of the applicable engagement.

5.3 Legal Requirements

We may disclose information if required by law, legal process, or government request, or to protect rights, property, or safety.

5.4 Business Transfers

Information may be transferred in connection with a merger, acquisition, or sale of assets.

5.5 Consent

We may share information with your consent or at your direction.

6. Data Security

We use technical and organizational measures appropriate to the sensitivity of the information, including encryption in transit and at rest, least-privilege access controls, and audit logging. Our security practices are described on our Security page. No method of transmission or storage is completely secure.

7. Data Retention

We retain business contact information for as long as needed for the purposes described in this Policy. Engagement Data is retained for the duration and purposes set by the governing contract, then returned or deleted unless the law requires longer retention.

8. International Access

Information is stored in the United States by default. Where our personnel access systems from outside the United States, that access is limited, logged, and subject to the data-handling restrictions of the applicable engagement.

9. Cookies and Analytics

Our website counts page views with Cloudflare Web Analytics, which sets no cookies and does not follow you across other sites. The website also keeps two small entries in your browser's local storage: a random visitor ID, and a note of what first brought you here (the campaign tags on the link you followed, the referring site's name, and the page you landed on). These are sent to us with an action you take, such as running a check, trying a document, sending the contact form, or opening one of our products, and once per product the first time you view that product's page on this website, so that we can tell which posts, searches, and campaigns lead people to look at and use the products.

Our products use a cookie to keep you signed in and local storage for small conveniences, such as a check you started before signing in. Product usage, including which pages of a product you open while signed in, is recorded in the product's own database, not by a third-party analytics service. We do not use advertising cookies or pixels, and we do not sell your personal information or share it for cross-context behavioral advertising. You can clear cookies and local storage through your browser settings; signing in again will be needed afterward.

10. Your Rights

Depending on your jurisdiction, you may have rights to:

  • Access your personal information
  • Correct inaccurate information
  • Request deletion of personal information
  • Restrict or object to processing
  • Receive a portable copy of your information
  • Withdraw consent

To exercise these rights, contact us at [email protected]. If your personal information appears in a client's Engagement Data, we may refer your request to that client, who controls it.

11. Children's Privacy

Our website and services are intended for businesses and are not directed to individuals under 16. We do not knowingly collect personal information from children under 16.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post material changes on this page with an updated "Last updated" date.

13. Our Products

In addition to services engagements, we offer self-serve products under the LogiPilot name. When you create an account we collect your email address and your company name, and we keep a log of sign-ins. Each product also handles the data you bring to it:

  • LogiPilot Cover looks carriers up in public FMCSA records and keeps a copy of the record it showed, so a check can be opened again from its link. The phone, email, contact name, and MC number you enter to compare are set against that record and looked up in public sources (FMCSA's datasets and, for an email's domain, the domain registry and DNS); they are not stored unless you save the check while signed in. On the no-account check we use your network address only to limit how many checks one network can run each day. For signed-in accounts, Cover can also ask a phone data provider for a number's line type and caller ID name, and keeps that answer for 30 days. When you forward an email to Cover's check address, it reads the email to write its reply and does not keep a copy; if your address has an account, the result is saved to your workspace. A saved check keeps what you entered, and your notes, for your workspace; a watched carrier is re-read every day and its changes are emailed to your workspace members. A share link shows the check without what you entered.
  • LogiPilot Docs stores the documents you upload or forward to your workspace address and the data extracted from them, so that your team can review and export it. Documents are visible only to members of your workspace. The no-account demo on our website processes the file in memory and does not store it.
  • LogiPilot Dial records your practice calls, transcribes them, and scores them. Recordings and transcripts belong to your account and are used to score you and to improve the realism of the simulated personas, as stated when you sign up. Real call recordings you upload for grading are processed for that purpose only.
  • LogiPilot Ping processes the load details, driver and dispatcher phone numbers, and shipper contacts that our customers (freight brokerages) enter, the location a driver chooses to share through a one-tap link, and the text and call records that result. Drivers do not create accounts. Location is shared only when the driver taps the button; we do not track continuously.
  • LogiPilot Analyst stores the TMS exports you upload and, if you connect it, data from your QuickBooks account, and computes reports from them for the members of your company's account. Every figure is calculated by our software from your data; the AI model is used to interpret your questions and to word summaries, not to calculate. Reports you schedule are emailed to the addresses you choose, and a customer share link shows that customer only their own loads.

Data you bring to a product is used to provide that product to you. We do not use it to train models shared with other customers, and our AI providers process it under terms that prohibit them from using it for their own training.

14. Text Messages and Automated Calls

LogiPilot Ping sends text messages and places automated calls to truck drivers and carrier dispatchers on behalf of the freight brokerage that is our customer, asking for the status of a load. Messages identify the brokerage and are sent only to numbers whose carrier has agreed in writing, in its carrier agreement or rate confirmation with the brokerage, to receive automated status texts and calls. Our website also offers a demo in which a visitor enters their own mobile number and receives a single sample message.

  • Message frequency varies with the load: no more than four status texts and two automated calls per load per day, and none between 9 pm and 6 am in the recipient's local time.
  • Message and data rates may apply.
  • Reply STOP to any message to stop receiving texts and HELP for help, or contact [email protected]. Telling an automated call to stop calling ends automated calls.
  • Mobile phone numbers and text-messaging opt-in data are used only to deliver this service. They are never shared with or sold to third parties or affiliates for marketing or promotional purposes.
